Meeting Minutes

24.6.08 - Conservative Baptist Yan Yu Church

Dear Kenneth,

I thank you and Pastor Yim warmly for opening your church for our students.  I'm writing now to review our progress made yesterday, as well as to outline what now needs to be further accomplished.

1) The students will receive a information leaflet about your church and will complete a small homework task as to make sure they are familiar with the place which they will visit.

2) Your church will take 40 students on the afternoon of August 12th, from 13:30-16:00.  The kids will wear their P.E. uniforms.

3) There will be an introductory lecture about the history of your church, the services that your church provides, and the churches plans for the future.

4) Students can then be split into small groups led by youth team members for ice-breaking and question and answer time.  Leaders will also share their testimonies and experiences.  Students will also receive a feedback sheet which can be submitted on a later date.

5) Students will then go on a community walk led by Kenneth.  They will be dismissed from their final stop on the tour.

This is what we need to do now:

Methodist College

1) Modify program plan and timeline

2) Modify student worksheet according to church's preference

3) Create feedback worksheet as well as pre-reading exercise

CBYY Church

1) Determine youth team manpower; who and how many shall assist in small group sharing and testimonies; and who will accompany or lead students on community walk.

2) Determine community walk routes; how the 40 students shall be split, if they are split.  (I can lead a group if necessary)

3) Any vocabularies that students should know or any questions that students should be able to answer after the activity.

I think the first item is the most important and should be taken care of first, perhaps, by July 15th; the other two points can be determined at leisure, let's say, by August 7th

Finally, I'm attaching the program plan, the time line and the student worksheet for your reference; as I make changes to the documents, I shall inform you immediately.

Thanks again for participating, Kenneth, and I hope you find this agreeable; but please correct me if I've misstated anything.  Allow me to be,

Your loyal, faithful, humble servant,

David Woo.

25.6.08 - Fuk Lam Church

Dear Jason,

It was good to meet you today to discuss our collaborative activity on August 12th and 13th.  This is a confirmation e-mail to notify others of our progress.

So far as a schedule is concerned, we've developed a tentative one, separated into five sections:

1) Worship (10 minutes) - students will be warmed up by singing two songs

2) Lecture (45 minutes) - students will watch a 15-minute video on the church in Yau Ma Tei, followed by a lecture by the church's community service officer who will elaborate on the characteristics of the district using a map; and also discuss the rice distribution activity using another map which shows its routes.  There should be an overall focus on the church's services (in-house and outreach) as well as the community's needs.

3) Discussion (20 minutes) - students will break up into small groups, to be led by youth team members; this is an ice-breaking activity primarily.  Furthermore, on Tuesday, we can students whether or not they would like to join rice distribution that evening at 19:30.

4) Community Walk (60 minutes) - students accompanied by teachers and the youth team will take a tour of the district.

5) Discussion (20 minutes) - this is primarily a reflection and question and answer time to address any thoughts or concerns about the walk, or anything else from the day's activity.  Students will also be given feedback forms to be submitted at a later date.

We've clarified a few discrepancies in our understanding of the project, enumerated as follows:

1) Everything can be performed in Chinese, though students will have a worksheet to complete that is written in English; I do hope that students will ask questions in English, but will not be disappointed if they do not do so.

2) Students will wear their P.E. uniforms.

3) One teacher will accompany every 20 students; I, too, will join if I am not at another church at the same time for this activity.

4) Students can take photos and videos inside the church; so far as taking photos and videos outside is concerned, it is best to use discretion as some situations may be inappropriate for video- and photo-taking

This is what we need to do now:

Methodist College:

1) Create a feedback form.

2) Modify project timeline and program plan

Fuk Lam Church:

1) Determine community walk routes

2) Determine youth team manpower; who and how many shall assist; and who will lead worship

3) Determine the number of students per visit; that is, do you want 40 students per sessio (two sessions total) or 20 students per session (four sessions total); There can be morning sessions (10:00-12:30) and afternoon sessions (13:30-16:00) over the two days.

Finally, I've attached the modified program plan and timeline, and have linked to the student worksheet.  Please look over the worksheet and, especially, if there are any words that you want the students to learn (in English or Chinese) or any questions you want the students to answer, please let me know so I can modify the worksheet.  The students aren't expected to complete the entire worksheet, but perhaps it will help facilitate their learning.

In closing, allow me to remain,

Warmly,

David Woo.

In preparation for a team-building professional development session to be held on 27.7.08, the principal delegated me to perform the following duties:

1) Meet the Fuk Lam team at 13:30 and Pastor Sam at 13:45; accompany them to the activity room in 42 Gascoigne Road.

2) Assist with the set up of the venue; there should be a projector and screen; moreover, each of the 25 colleagues who will participate in the development should be allotted a desk and a chair.

3) Introduce Pastor Sam and his team to the colleagues.
